Straight answers about how FreshTrack works, what it integrates with, how long implementation takes, and how pricing is structured.

Hardware & Integrations

Yes. FreshTrack integrates directly with a wide range of optical and mechanical grading machines, including Reemoon graders. Our proprietary Cloudlink device driver reads grader output in real time, flowing grade results straight into FreshTrack records with no manual entry required.

We also manufacture our own hardware interfaces that connect to bin tippers, scales (analog and digital), barcode scanners, NFC readers, and most other shed equipment — regardless of age or brand. If your machinery has a signal output, we can read it.

FreshTrack connects to a broad ecosystem of tools your operation already uses:

  • Grading machines — including Reemoon and other optical graders via the Cloudlink driver
  • Accounting — Xero, MYOB, and NetSuite
  • Payroll — iChris and Employment Hero
  • Retailer EDI — direct EDI connections to Coles, Woolworths, Aldi, and Costco via our VAN service for orders, ASNs, and invoicing
  • Custom connectors — XML, CSV, and API for non-standard or legacy systems

Integration is included as part of your deployment scoping — we identify what you need and connect it before go-live.

Cloud & Internet Access

FreshTrack Cloud is FreshTrack's hosted software platform for growers, packers, and marketers. It gives your team access to traceability, packing, labelling, QA, grower payments, dispatch, and reporting through a subscription model without needing to run your own server infrastructure.

Cloud means the application is hosted on managed remote infrastructure rather than on a server sitting in your office or shed. Your authorised users access FreshTrack through a modern web browser from locations with internet access.

No. FreshTrack Cloud is hosted for you. Your team needs reliable internet access, suitable local devices, and an up-to-date browser. This removes the cost and complexity of maintaining application servers on site.

For basic FreshTrack Cloud use, we recommend a stable internet connection with at least 5 Mbps download, 512 Kbps upload, and latency under 100 ms where possible. More complex sites, shared office networks, remote support, and shed workflows may need higher upload and download capacity.

If FreshTrack is supporting operationally critical workflows, discuss your connection with your IT provider and your FreshTrack consultant during scoping.

Most farm and shed internet connections are shared. Streaming video, large file downloads, device backups, software updates, cloud photo sync, and many users online at once can reduce the bandwidth available to FreshTrack and remote support sessions.

FreshTrack Cloud needs internet access for the web application. If the connection fails, users may not be able to access cloud services until connectivity returns. The FieldOp mobile app is offline-tolerant for data capture and syncs when the device reconnects.

For sites where continuous shed operation is critical, we recommend planning redundant internet with your IT provider, such as a primary fixed service and a separate backup service.

Talk to your IT provider about the best service for your location and workload. Some rural customers use a business-grade satellite service such as Starlink Business when ADSL, NBN, or 4G options are inadequate. The right answer depends on coverage, latency, upload speed, backup needs, and how many people share the connection.

Yes, the technologies are different. Starlink uses low-earth-orbit satellites, which can provide lower latency than traditional high-orbit satellite services. For cloud software and remote support, latency matters as well as raw download speed, so your IT provider should compare the options for your site.

Your label printers stay on your local network. FreshTrack uses a small background service on a computer at your site to receive print instructions from FreshTrack Cloud and pass them to the correct local printer.

A service is a small program that runs quietly in the background, usually on a Windows computer. After setup, it can keep handling tasks such as sending FreshTrack label commands to local printers without someone manually opening a separate app each time.

Offline & Mobile

Yes. The FreshTrack mobile app is designed to be offline-tolerant. Field and shed staff can continue capturing data — including harvests, receivals, packing runs, and labour records — when connectivity is limited or absent. Data syncs automatically once the device is back online.

This is particularly valuable for remote growing blocks and sheds in areas with patchy mobile coverage.

Implementation

Implementation timelines depend on the complexity and scale of your operation. As a general guide:

  • Single site — approximately 4–6 weeks
  • Multi-site — approximately 8–12 weeks
  • Enterprise / export scale (complex integrations, multiple business units) — approximately 12–16 weeks

Every deployment includes guided onboarding, setup, hardware commissioning, and team training. We work around your season where possible.

All FreshTrack deployments include guided onboarding, system configuration, and hands-on training for your team — from office staff to shed floor operators.

Traceability

FreshTrack creates a continuous digital record for every batch of produce across five key stages:

  • Receival — incoming produce is logged against grower, variety, and block
  • Grading — grade results are captured directly from the grader in real time
  • Packing — every carton is labelled and linked to its source batch and picker
  • Palletising — cartons are scanned to pallets, building a complete pallet manifest
  • Dispatch — shipment records link pallets to buyer orders, ASNs, and delivery documentation

If a recall or food safety audit is triggered, you can immediately identify the affected batches and provide a full chain-of-custody report — within minutes, not days.

Multi-Site & Scale

Yes. FreshTrack is built to support operations with multiple farms, sheds, cool-stores, or packing lines — all managed from a single platform. Reporting, traceability, and inventory visibility are consolidated across all sites, giving you a complete operational picture rather than fragmented views per location.

Pricing & Commercial

Pricing is tiered by operation type and scales with your needs:

  • Grower Suite — from $220/month AUD (on-farm visibility, crop management, harvest tracking)
  • Packer Suite — from $440/month AUD (includes everything in Grower, plus receival, packing, palletising, and dispatch)
  • Marketer Suite — from $880/month AUD (includes everything in Packer, plus retail EDI, VAN service, and multi-buyer distribution)

All prices are in Australian dollars, exclude add-ons, and are based on a minimum 12-month subscription. Volume discounts are available for larger operations. Every deployment is tailored, so book a demo or contact us for a quote built around your operation.

Data & Security

Your data is your data. FreshTrack does not claim ownership of your operational records. The platform is cloud-hosted, and you can export your data at any time in standard formats.

No. Access to your FreshTrack environment is controlled through authorised user accounts and permissions. Your organisation controls who can view, enter, or change operational information.

FreshTrack uses a cloud architecture designed for SaaS delivery. Some platform components may be shared, while customer-specific services and configuration are separated where required for performance, reliability, and operational control.

FreshTrack is designed so customer-specific portal issues do not automatically bring down other customers. The platform separates customer-specific services where appropriate and uses managed cloud infrastructure to support reliability across shared services.

Dedicated hosting can be discussed for enterprise requirements. It is usually a separate commercial option because it changes the infrastructure, support, and operating cost model.

FreshTrack focuses on building and supporting the software, not owning physical data centre hardware. FreshTrack Cloud runs on managed cloud infrastructure selected for SaaS performance, reliability, and security.

We can answer practical questions about how FreshTrack Cloud works, how users connect, and what your operation needs. Some platform design details are kept confidential to protect FreshTrack intellectual property and platform security.

Migration & Existing Systems

Yes. FreshTrack is designed to integrate with and coexist alongside existing ERP or legacy systems. You can migrate progressively — running FreshTrack for specific functions (such as packing and traceability) while your existing system handles others, and expanding as your team gains confidence.

Our custom XML, CSV, and API connectors make it straightforward to pass data between FreshTrack and most existing platforms without a disruptive cutover.
